What information do we collect about you?

When you visit the VOX Scotland website we collect information using Google Analytics, including your IP address and usage data such as the pages you have visited, geographical location, browser type, referral sources, and amount time spent on a page. Google data is stored for 26 months. We use cookies to identify you and to enable us to personalise your online experience. You can choose to accept or decline cookies on the VOX Scotland website. Personal information collected by VOX Scotland may include your name, address, telephone number, and e-mail address. We may also require sensitive personal information regarding any accessibility or dietary requirements you have and information regarding your health, gender, sexual orientation, and race/ethnicity when you apply to VOX membership. Individual personal information will not be passed onto any third party unless expressed permission is granted or if required by law. This information will be retained for the duration of your membership. You can cancel your membership at anytime by emailing info@voxscotland.org.uk and you can opt out of email communications at any time by clicking the ‘unsubscribe from this list’ link at the footer of emails issued using ‘MailChimp’ or by emailing info@voxscotland.org.uk. Should you cancel your membership we will delete your personal information within one month. However, we will retain the details of organisations who have cancelled their memberships.

If you are involved in focus groups, consultations, blogs, campaigns, personal stories/case studies, or events, your opinion, feedback, comments, personal circumstances and photographs may be collected and used by VOX Scotland with your consent. We may also capture your views on video or audio, depending on the activity. Information that you have consented to being made public will be retained permanently. If we are filming or photographing an event, this will be made clear to all attendees in advance.

Details of non-members that are collected for event attendance will be held for up to two years in order to enable feedback and to enquire whether you would like to become more involved with VOX Scotland or join as a member.

If you are involved in activity whereby your travel expenses may be reimbursed, we may require your bank details should you choose to be reimbursed electronically. If we have agreed to reimburse your associated travel and subsistence expenses, and you have chosen to be paid electronically, we will require your bank account name, sort code and account number. If you have chosen to be paid by cheque, we will require your postal address. This information will be kept for 6 years following the tax year in which it was collected.

If you leave a comment on a website post, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Visitor comments may be checked through an automated spam detection service.

The VOX Scotland websites contain links to other sites. Please be aware that VOX Scotland is not responsible for the privacy practices of such other sites. This privacy statement applies solely to information collected by VOX Scotland. Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Overseas data transfer

We use third party sites such as Zoom to host public events including member events. These events are not designed to elicit personal information from participants: however, should you wish to register to attend these events, you must be aware that Zoom.us transfers personal data to the USA and that any personal data you choose to share will be transferred to a country that does not provide adequate data protection (in line with GDPR) and that no adequate safeguards aimed at providing protection for the data are being implemented. Zoom may also be used to record, edit, and publish VOX Scotland events. Participants who consent to participate are subject to the same caveats as above.

Changes to our privacy policy

If we decide to change our privacy policy, we will post the updated privacy statement to the website so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
